IMPARTIALITY POLICY

 Impartiality and Independence are central elements of the services that Global Management Certification provides. Because of this, Global Management Certification will guarantee that in every interaction with clients and potential clients every employee and any other person associated with the company will always show impartiality and will not permit commercial, financial or other considerations to affect their impartiality; this will remain the case with contracts and appointment letters. The principles below have been created to ensure the sustainability and visibility of the company’s impartiality:

    • Global Management Certification will not offer, and never has offered, internal audit services for either organizations or individuals.
    • Global Management Certification provides no certifications for alternative certification bodies for its management system.
    • Global Management Certification never outsources its auditing processes to any management system consultancy companies.
    • Global Management Certification never conducts or markets activities linked with the activities of an organization that provides management system consultancy.
    • Global Management Certification shall not state or imply that certification would be simpler, easier, faster or less expensive if a specified consultancy organization is used.
    • Global Management Certification does not offer any services that have the potential to create or appear to create a conflict of interest.
    • All potential conflicts of interest are reviewed at the time of the contract review and when the audit team is selected. Confidentiality and Impartiality agreements are signed by all members of the audit team; in this Agreement they undertake to retain complete impartiality and confidentiality.
    • Global Management Certification is a stand-alone entity and its policy is that it will not own any other company or part thereof; if any relationships arise that unacceptably threaten the company’s impartiality, e.g. with employees or subsidiaries of the company, Global Management Certification will refuse to supply its certification services.
    • Should the impartiality of Global Management Certification be threatened by any other company, body or individual, action will be taken to prevent any compromise to our impartiality.
    • Global Management Certification will undertake periodic assessments of all practices, procedures and systems to ascertain whether impartiality is being sustained.
    • Global Management Certification has no undeclared advantages relating to the outcomes of any audit or the success/failure of any client.

Any issues regarding Global Management Certification’s impartiality when providing certification should be directed to the Global Management Certification Managing Director.

Confidentiality Policy

 Confidentiality is a necessity for Global Management Certification in its operations. Global Management Certification is under an obligation never to reveal client information that it has been provided in order to conduct audit against certification requirements.

Global Management Certification employees will sign a Confidentiality and Impartiality Declaration that ensures that they will remain fully compliant with all regulations pertaining to information confidentiality in the course of the certification processes.

The following principles will be adhered to with regards to information confidentiality:

    • Any and all information held within certification files remains confidential;
    • Only members of the audit team may gain access to information within the certification files;
    • Any other individual or entity will only be permitted access to any information within certification files if they have written approval from the Global Management Certification Manager, the conformity certificate holder, and have signed the Confidentiality and Impartiality agreement;
    • All forms of information, whether relevant to certification or not, written or unwritten, revealed in the course of audit visits will never be shared with third parties or employed for any other professional activities beyond the conformity certification process;
    • Once the archiving period has expired, all files holding certification documents will be destroyed in accordance with the established processes of Global Management Certification;
    • Global Management Certification will provide and employ facilities and equipment that guarantee that confidential information will be stored securely.
Quality Policy

It is the aim of Global Management Certification to promote awareness and responsibility and to contribute to the continuous improvement of certification for management in commerce, industry and public service. The chief purpose of Global Management Certification is to award certification by employing a robust auditing process on the basis of global and Australian Standards, amongst others.

Global Management Certification establishes targets and goals for the continuous improvement of operational performance with the aim of attaining primary goals that are in accord with the most current versions of ISO 9001, ISO/IEC 17021 and any other pertinent standards.

We have a series of rigorous targets as a certification body and recognize that these will be effectively fulfilled through efficient and high-quality management of our clients, our employees, our certification processes and our business plan. This is essential to our business and customer service strategies.

This will be achieved through:

    • Offering our customers professional services that will live up to their expectations and will demonstrably add value to their operations;
    • Valuing, and offering the best care to our staff;
    • Offer our staff briefings and training that results in audits that gain the highest level of customer satisfaction, approval from supervisory bodies, and that meet our own high standards.
    • The development of open information exchanges with other organisations and the public regarding the certification services we can provide;
    • Introducing continuous improvements to the certification services we provide;
    • Following the best and most ethical business principles in the management of certification;
    • Offering both new and extant staff ongoing career development training, allowing them to satisfy the requirements of the company, the client and the regulator;
    • Ensuring that all our employees, clients and other interested entities are aware of this policy.
Complaints and Appeals Process

The aim of this process is to describe the method that all stakeholders may make a complaint or an appeal with “Global Management Certification” Pty Ltd. Global Management Certification is devoted to continually improve its service and see feedback as a crucial contribution into this process.

The handling method includes a minimum of the subsequent components:

1.Receive and document any complaint or appeal received from any channel in the Appeal Report or Complaints Report

2. Allocate it a unique code for tracking. This code is informed to the relevant stakeholder in order to expedite the tracking and following up process.

3. Assign an owner for each complaint or appeal;

4. Initiate investigation of the complaint or appeal and take measures to solve the matter

5.The complaint or appeal handling process is free for the complainant.

6. If the complaint or appeal is not resolved, the client can escalate it to JAS-ANZ. 

Suspending, withdrawing or reducing the scope of certification Process

The aim of this Process is to describe the process for suspending, withdrawing or reducing the scope of certification of certified client organizations.

Suspension

If any of the situations below arise, the process of suspension will commence:

  • If records of remedial action and a report after non-confirmation is found are not provided within the timeframe mandated by GMC;
  • If the client does not undertake remedial action it agreed with the audit team;
  • If the client does not accord with the requirements regarding usage of the certificate and the mark or logo of GMC;
  • If for any reason (particularly a regulatory body order) the client has not activated and implemented its management system;
  • If the client undertakes activities that are in violation of regulations and laws governing its business;
  • If the client’s certified Management System(s) as consistently and/or significantly not accorded with the requirements of certification, to include the need for an effective management system;
  • If the client undertakes activities that are in violation of any requirements detailed in this document;
  • If the client fails to meet the payment terms set out in this document;
  • If the client voluntarily requests a suspension in writing;
  • If the majority of the management system is not put in place by the client;
  • If the client fails to permit recertification or surveillance audits to take place at the requisite times.

Global Management Certification will publish or make publicly available the suspended status of certificates being or take other measures it appropriate.

 Restoring the Suspension:

If the suspended client organization requests for restoring the suspension with an official letter, Global Management Certification conducts a follow-up audit (if needed) or takes appropriate investigation actions in order to determine whether the non-conformities that led to the suspension has been resolved or not. Then, as per the investigation/audit result, Global Management Certification decides to restore the suspended certification or not.In case of restoring the suspension, the certified client organization, interested parties & public will be informed.

Withdrawal:

If any of the situations below arise, the process of withdrawal will commence:

  • If, having been suspended, the client cannot remedy matters within the time set;
  • If the client provides inaccurate information when applying to GMC for certification;
  • If the client provides inaccurate information at any time while being assessed for certification;
  • If the client ceases to cooperate with GMC because of legal proceedings or the company being dissolved;
  • If the client fails to comply with the requirements of its contract with GMC.

Reducing the scope of certification:

Global Management Certification reduces the scope of certificate to exclude the parts not meeting the requirements, when the certified client organization has persistently or seriously failed to meet the certification requirements for those parts of the scope of certificate. Any such reduction shall be in line with the requirements of the standard used for certification.

Expanding scope:

Global Management Certification, in response to an application for expanding the scope of a certification already granted, undertakes a review of the application and determines any audit activities necessary to decide whether or not the extension may be granted. This may be conducted in conjunction with a surveillance audit.
